Recipients:

  • Applicant

  • Staff Responsible

Includes:

  • Excursion data (name, type, activity types, start date, end date, description)

  • Applicant name

Notification Type: NOTIFY ONLY


Excursion Submitted for Approval

Recipients:

  • Approver

Includes:

  • Excursion data (name, type, activity types, start date, end date, description)

  • Applicant name

  • Approval Status

Notification Type: APPROVAL NEEDED


Excursion Status Updated

Recipients:

  • Applicant

  • Staff Member Responsible

Includes:

  • Excursion data (name, type, activity types, start date, end date, description)

  • Approver name

  • Approval Status

  • Note (if refused)

Notification Type:

  • NOTIFY ONLY, or

  • ACTION NEEDED (depending on status)

Action Required Examples:

  • For pre-approval → Add students, complete risk assessment & checklist items

  • For final approval → Send welcome email
